Personal/Executive Assistant

Seeking a proactive Personal/Executive Assistant to provide high-level support to a Unit Manager within a community-focused organisation in Wyong. This is a fantastic 2-month labour hire contract for someone who thrives in a fast-paced, professional environment and takes pride in delivering exceptional administrative outcomes.

  • Location: Wyong NSW
  • Hours: 35 hours per week, 9 day fortnight option

Key Responsibilities:

  • Executive Support: Provide proficient administration and business support to the Unit Manager and Section Managers.
  • Diary & Meeting Management: Coordinate complex calendars, schedule appointments, and manage travel arrangements while ensuring all documentation is prepared in advance.
  • Communication & Triage: Act as the first point of contact for enquiries, manage correspondence, and draft professional responses.
  • Reporting & Documentation: Coordinate, collate, and track the completion of reports, presentations, and financial information.
  • Stakeholder Engagement: Build and maintain solid relationships with internal and external stakeholders to ensure quality customer service.
  • Financial & Project Support: Monitor budgetary spending, assist with procurement, and provide coordination for sensitive projects.

Skills & Experience Required:

  • Proven Experience: Significant experience in a high-level Personal/Executive Assistant position within a large, complex organisation.
  • Technical Proficiency: Advanced skills in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with electronic records management and budget software.
  • Qualifications: A Certificate III in Business Administration (or equivalent experience) is essential; a Diploma is highly regarded.
  • Interpersonal Excellence: Exceptional communication skills with the ability to handle conflict resolution and negotiation with discretion.
  • Organisational Flair: Superior attention to detail and the ability to manage changing priorities under uncertainty.
